JobAps Training

The following is a list of the JobAps training opportunities available. They are designed to help you maximize your use of JobAps in conducting recruitment and examination processes. Classes are hands-on, and are taught by pros with expertise in both the JobAps system and San Francisco's unique rules and procedures.

These courses are open to CCSF JobAps users who do not have designated super-users in their own departments. Many of our larger departments have specially-trained experts in-house who can provide assistance, training and guidance to JobAps users in their departments. If your department has a super-user, please contact that person directly for training or consultation on JobAps. Click to see the list of super-users.

Course 1: Recruitment

This course is designed for JobAps users that have the responsibility of posting job announcements and supplemental questionnaires on the web.
Participants learn how to:

  • create a new recruitment plan
  • post employment opportunity bulletins
  • develop supplemental applications
  • email the draft announcement and supplemental application

Prerequisites: None

Course 2: Applicants

This course is primarily designed for JobAps users that have the responsibility of tracking, compiling, reviewing, annotating and/or applying scores to applicant records. The first topic is also intended for those users that assist applicants with maneuvering through the system for application/supplemental submission.

Participants will learn how to:

  • assist applicants with their applications, and answer commonly-asked questions
  • view count, batch and annotate applications
  • filter supplemental applications
  • add applications
  • score applications according to training and experience scoring criteria

Prerequisites: Participants must have either completed Course 1, or must have working knowledge of the functions taught in Course 1.

Course 3: Scoring exams

This course is designed for JobAps users that have the responsibility of planning the logistics of an assembled exam and notifying and scheduling candidates through the system. It is also intended for entering scores, converting scores, determining cut-off scores after an assembled exam has been administered.

Participants will learn how to:

  • schedule and notify candidates for exams (a essential step in JobAps prior to scoring exams)
  • set up written exams and oral exams by panel
  • upload/enter scores
  • set cut-off scores
  • convert and rank scores

Prerequisites: Participants must have either completed Course 2, or must have working knowledge of the functions taught in Course 2.

Course 4: Notices and reports

This course is designed for JobAps users that have the responsibility of sharing applicant records with hiring managers and other appropriate parties for recruitment and/or examination purposes, notifying candidates of their application and/or examination status along with building a variety of reports in the system.

Participants will learn how to:

  • email hiring managers with an applicant pool
  • email notifications to the applicant pool
  • build examination-related reports

Prerequisites: Participants must have either completed Course 2, or must have working knowledge of the functions taught in Course 2. Note, Course 3 is not a prerequisite for this course.
